Job Description: 

The Office/Procurement Administrator will provide comprehensive administrative and operational support to the Managing Director. The role is responsible for ensuring smooth day-to-day office operations, maintaining organized records, managing communication channels, coordinating customer queries, and supporting basic procurement activities where required. This role is key in enabling the MD to focus on business development and strategic activities.

Key Responsibilities:

1. Office Administration & Executive Support

  • Manage all incoming calls, emails, and general correspondence in a professional and prompt manner.
  • Schedule and coordinate meetings, appointments, and travel arrangements for the Managing Director.
  • Prepare meeting agendas, minutes, and relevant documentation as required.
  • Maintain an organized and efficient office environment, ensuring all supplies, equipment, and facilities are well managed.

2. Document Management

  • Safekeep and maintain all company and project documentation on appropriate electronic platforms for easy retrieval (e.g., SharePoint, Teams, or other document management systems).
  • Ensure documents are properly filed, labelled, updated, and accessible to authorized users.
  • Support in the preparation, formatting, and distribution of reports, presentations, and internal documents.

3. Stakeholder Coordination

  • Serve as a central point of contact for internal and external queries.
  • Coordinate customer queries, requests, and complaints, ensuring timely follow-up and escalation where necessary.
  • Distribute relevant information and correspondence to internal and external stakeholders as required.
  • Assist in maintaining strong relationships with suppliers, partners, and clients.

Procurement & Operational Support

  • Assist with sourcing quotations from suppliers and service providers.
  • Support basic procurement administration such as purchase orders, supplier documents, and follow-up on deliveries.
  • Maintain an organized record of suppliers, contracts, and procurement documentation.

Competencies & Skills:

  • Excellent verbal and written communication skills.
  • Strong time-management and organizational abilities.
  • High attention to detail with a proactive approach.
  • Ability to handle confidential information with professionalism.
  • Customer-focused attitude with strong interpersonal skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and experience with digital filing systems.

Qualifications & Experience:

  • Minimum: Diploma in Office Administration, Business Administration, or related field.
  • 2–4 years relevant experience in office administration or executive support.
  • Experience in procurement administration will be an advantage.
  • Experience working in a multinational environment or supporting an executive is beneficial.
